Overview

We are seeking a dedicated and detail-oriented Medical Office Assistant to join our healthcare team. The ideal candidate will play a crucial role in providing managerial, clerical, secretarial, and receptionist support for the Outpatient Wound Care and Hyperbaric Medicine Clinic.

This role works independently and with minimal supervision, and performs other diverse duties as requested or required. It calls for superior skill in patient relations and efficiently manages the daily processing, registration of patients, and precertification and verification of insurance coverage, under the supervision of the Clinic Manager and Medical Director.

Essential functions

  • Answer and screen high-volume telephone calls courteously, and record messages for providers and other personnel.
  • Schedule patient appointments and procedures according to established policies and procedures.
  • Check patients in upon arrival and check them out upon departure.
  • Obtain accurate information from patients and ensure all registration forms are complete.
  • Collect patient co-payments.
  • Prepare, file, and scan stored records in the appropriate sections of patient charts.
  • Transcribe letters and create forms as needed.
  • Manage patient flow and the overall efficiency of the office.
  • Maintain patient confidentiality.
  • Perform other related tasks as assigned.

Skills & abilities

  • High school diploma or GED required.
  • Minimum of two years of experience in a medical office, front office, or scheduling role.
  • Wound care and/or hyperbaric experience.
  • Excellent communication skills.
  • Knowledge of basic computer programs and applications, including various Microsoft Office programs.
  • Ability to organize, sort, and file materials correctly in alphabetical or numeric systems.
  • Ability to multi-task in a fast-paced environment.

Duties

  • Manage patient appointments and ensure efficient scheduling processes.
  • Maintain accurate patient records and update information in electronic health record systems.
  • Assist with medical coding and billing processes, including collection of patient co-pays.
  • Use 10-key typing skills for data entry tasks related to health information management.
  • Communicate effectively with patients, healthcare providers, and insurance companies regarding inquiries or issues.
  • Ensure compliance with healthcare regulations and maintain confidentiality of patient information.
  • Support the medical staff with administrative tasks, contributing to a collaborative office environment.

Experience

Candidates should have prior experience or familiarity with the following:

  • Medical coding and knowledge of medical terminology.
  • Proficiency using healthcare administrative software.
  • Health information management; understanding of hospital operations is preferred.
  • Strong organizational skills with attention to detail to ensure accuracy in all tasks.
  • Excellent communication skills for effective interaction with patients and staff.
